Templates and fields

Set a document up once so sending it again takes seconds: parties, fields, folders and archiving.

A template is a document you have set up once — the file, the fields and who fills in each one — so that sending it again takes seconds. Templates and folders are unlimited on both plans.

Making a template

  1. Upload a PDF or a Word file from your dashboard, or open one of the starter templates that come with a new account and edit it.
  2. Name the parties. A contract might have a "Client" and a "Contractor"; every field you place belongs to one of them.
  3. Drag fields onto the page and drop them where they go. Resize a field by its corner, and move it with the arrow keys for fine work.
  4. Mark the fields that must be filled in as required.
  5. Save. The template now sits on your dashboard, ready to send.

The fields you can place

  • Signature and Initials — drawn, typed or uploaded by the signer.
  • Text, Number and Cells — free typing, figures, and boxed characters for things like a reference number.
  • Date — a date picker, so nobody types one in the wrong order.
  • Checkbox, Multiple choice, Radio and Select — the ways to offer a choice.
  • File and Image — for a document or a photo the signer has to attach.
  • Stamp — a company stamp or seal the signer applies.

Any field can be made read-only or given a default value, so you can pre-fill what you already know and leave the signer only what they have to decide.

Keeping templates tidy

Group templates into folders, rename them, and archive the ones you have finished with. Archiving hides a template but keeps its files — and those files still count towards your storage. Only delete permanently, from the archived list, actually frees the space, and deleting a template permanently takes the documents made from it as well.

Sending from a template

Open the template, choose Send, and fill in who is playing each part. The fields and the order come with it. The original template is never changed by sending it, so the same one serves every client you have.

Paid accounts can also add conditional logic, so a field or a whole page only appears when an earlier answer calls for it.
