Sending a document for signature

Upload a PDF or Word file, add the people who sign, set the order, send — and correct it if something is wrong.

Sending is the same four steps every time: pick the document, place the fields, name the people, send. This page covers the choices you get along the way and what happens after the document leaves you.

Pick the document

Upload a PDF or a Word file (.docx or .doc) from the dashboard, or reuse a template you have already set up. Word files are converted to PDF for you in the background; the builder shows a "Converting Word document…" card and the pages appear by themselves when it is done.

Add the people who sign

  1. Open the document and choose Send.
  2. Type an email address for each signer. The detailed view also lets you add their name, and fill in anything you already know for them.
  3. If the order matters — a manager after an employee, say — switch on the signing order so the second person is only invited once the first has finished.
  4. Send. Each signer gets their own private link. Nobody can see anyone else's link.

Two shortcuts sit beside the ordinary send. Sign it yourself opens the document for you to complete on the spot — useful for a form you fill in in front of someone. A share link is one address you can publish or paste into a message; everyone who opens it starts their own copy.

While it is out

The document's page shows each person's state: sent, opened, completed or declined. You can resend an invitation, and on the paid plan you can have EsignCenter chase people with automatic reminders. If a signer declines, you are told, with the reason they gave.

Fixing a mistake after somebody has signed

It happens: the document is signed and only then does the wrong figure jump out. Use Resubmit on the document, correct it, and send the same document out again. EsignCenter treats that as the same document rather than a new one.

When the last person finishes

Everyone receives the completed PDF by email. It carries a digital seal and a trusted timestamp, so any later change to the file is detectable, and an audit trail PDF lists what happened and when. On the free plan our footer appears on the emails we send for you and on the pages your signers sign on; the paid plan removes it.
