A team is the paid plan with more than one person in it. Everybody in your account occupies a seat, and a seat is $9.99 per user per month. The free plan has exactly 1.
Inviting somebody
- Go to Settings → Users and enter the person's email address.
- If your subscription is already paying for a spare seat, the invitation goes out straight away and nothing is charged.
- If every seat is taken, we show you what your card will be charged today for the rest of the current billing period, and what the subscription will cost from the next renewal. Nothing happens until you confirm.
- Once the payment goes through, the invitation is sent. The person chooses their own name and password when they accept.
An invitation lasts 7 days and holds the seat while it waits. Pending invitations are listed on Settings → Users with their expiry date, and can be resent or cancelled.
If the person already has their own account
That is not an error. The invitation page says so and offers to join this team: accepting moves them across, bringing their templates, folders and documents with them, and their old account is archived rather than deleted. Documents that account has already signed stay verifiable exactly as they are.
Because it is a move between two organisations, the keys their old account issued stop working — API tokens, "remember me", and every browser they were signed in on except the one they accepted from. We tell them all of this before they press the button. The move is refused, with a plain explanation of what to settle first, if their old account still has other people in it, still has a paid subscription, is frozen for an unpaid card, or is scheduled for deletion.
Removing people, and seats going back down
A seat comes back when you remove someone, make them read-only, or when an invitation lapses or is cancelled. The subscription then bills for fewer seats from your next renewal. Additions are charged immediately; reductions are not credited or refunded mid-cycle — the next invoice is simply smaller. An account can never lose its last administrator, so removing or demoting the only admin is refused.
Dropping back to the free plan with a team
Nobody is deleted. The administrator who signed in most recently keeps full access and everybody else becomes read-only: they can still sign in, read, download and export, but not create or change anything. Settings → Users has Give full access and Make read-only on each person, so you decide who holds the seats.
